Everything you need to know about dietary requirements

If your group includes guests with dietary requirements, it is important that you read this article carefully and share any relevant information with those guests. 

Dietary requirements must be submitted through the portal

Dietary requirements must be submitted through the dietary requirements section of your customer portal before the deadline shown in your portal.

We cannot accept dietary requirements by email, spreadsheet, telephone or any other method.

If you discuss a dietary requirement with West End Events or directly with the venue, it must still be submitted through the dietary requirements form.

Only the lead organiser can submit dietary requirements. Individual guests do not have access to the customer portal. 

Always declare dietary requirements

Dietary requirements should be submitted regardless of what appears on the published menu. Menus do not list every ingredient and may occasionally change.

We recommend collecting dietary requirements from your guests as early as possible, particularly for larger groups where responses can take time to gather.

Only guests with dietary requirements need to be added to the dietary requirements form. Guests without dietary requirements will automatically be assumed to require the standard menu.

If nobody in your group has dietary requirements, you can select No Dietary Requirements in the portal.

Dietary deadline

Dietary requirements must be submitted no later than 21 days before the event.

The exact deadline for your booking is displayed in your customer portal.

At 23:59 on the deadline date, the dietary requirements form will automatically lock and it will no longer be possible to add, edit or remove dietary requirements.

What happens after the deadline?

Once the dietary deadline has passed, dietary information is shared with the venue and catering arrangements are finalised.

If a guest is replaced after the dietary deadline, the catering arrangements already associated with that place cannot be changed.

For example, if the original guest was registered for a vegetarian meal, the replacement guest will receive the vegetarian meal. Likewise, it is not possible to add a new dietary requirement after the deadline has passed.

What will guests with dietary requirements be served?

Vegetarian and vegan menus are usually published on the event page alongside the standard menu.

For most other dietary requirements, menus are not finalised until after the dietary deadline has passed.

Once the deadline has passed, dietary information is reviewed by the venue's catering team and suitable meals are planned for the guests concerned.

For this reason, we do not routinely publish or distribute individual dietary menus in advance.

Allergies and cross-contamination

Meals are prepared in commercial kitchens where allergens are present. Whilst venues take reasonable precautions when catering for dietary requirements, they cannot guarantee that cross-contamination will not occur.

Guests with allergies, food intolerances or other dietary requirements should consider this information carefully when deciding whether a particular catering arrangement is suitable for their needs.

Important information for guests attending the event

Guests with dietary requirements should ensure that waiting staff are aware of their dietary requirements whenever food is served.

At many venues, dietary cards are provided to assist with this process. Guests should ensure these cards are displayed clearly and brought to the attention of waiting staff whenever food is served.

Different members of the venue team may serve different courses. Guests should therefore continue to make waiting staff aware of their dietary requirements throughout the meal service.

Guests who do not have a dietary card will receive the standard menu. Guests with dietary requirements should therefore ensure that waiting staff are aware that they are expecting an alternative meal.

If guests have any concerns or require further information about a meal being served to them, they should speak to the venue's food and beverage manager or a member of the venue management team before consuming it.

Kosher catering

Kosher meals follow a separate process and are sourced from external suppliers rather than prepared by the venue's kitchen.

Additional charges will usually apply.
