Can I reduce my guest numbers?
This article applies to shared parties and private dining rooms at shared Christmas parties. If you have booked an exclusive event, please refer to the terms and conditions included in your booking contract.
Yes, you can request a reduction in guest numbers. However, cancellation charges will apply.
What are the cancellation charges?
For shared parties and private dining rooms at shared Christmas parties:
- If you request the reduction 42 days or more before the event, the cancellation charge is equivalent to the standard deposit amount for each cancelled guest.
- If you request the reduction less than 42 days before the event, the cancellation charge is 100% of the ticket price for each cancelled guest.
Please refer to your booking contract and terms and conditions for the definitive position.
Private dining rooms at shared Christmas parties
If your booking includes a private dining room at a shared Christmas party, reductions may also be limited by the minimum number required for that room.
How do I request a reduction?
The lead organiser should email bookings@westendevents.co.uk and tell us how many guests they would like to remove from the booking.
We'll review the request and advise on any charges that apply.
If you are within 42 days of the event, reducing your numbers will not reduce the amount payable for those tickets.
If you're unsure whether those places may still be used, you may prefer to keep them in reserve.
Please note that once places have been removed from your booking, we cannot guarantee that they will be available again later.
If you are certain those places will not be used and there are more than 21 days until the event, please let us know still. We may be able to optimise your seating arrangements.
